The SGroup European Universities' Network (SGroup) is a not-for-profit organization under Spanish Law founded in 1989. It is composed of  34 higher education institutions from18 European countries and 3 higher education institutions from 3 non-European countries. The SGroup is a dynamic network with over  30 years of experience in university collaboration within Europe and beyond. Its aim is to foster university excellence in education and research and to promote continuous adaptation in the Higher Education area to educational and societal changes in a creative and innovative way. Its mission is based on four core areas of co- operation–internationalisation strategy, academic collaboration, academic mobility, and transfer of knowledge.

About the job

The SGroup is seeking an overall administrator to take care of the daily administration of the SGroup Secretariat in Porto. He/she will work together with the Projects manager on a daily basis within the premises of the University of Porto and online with the Operations Manager. A number of visits to places to attend meetings is part of the job. 

  • The administrator is expected to live or move to Porto or its immediate surroundings.
  • The full-time position can be taken up from September 2019 onwards.
  • Remuneration is in the region or slightly above of what is normally paid in a similar position in Portugal.


The SGroup Secretariat is in charge of day-to-day running of the activities and events. It implements decisions of the President and the General Assembly and works with and for the Executive Committee and the Operations Manager to prepare actions and priorities. It provides an interface with different international institutions, e.g. European Commission, the EUA, University Networks, and other organisations of higher education for the exchange of information and cooperation opportunities when applicable, or for inter-institutional relations. It is also responsible for communication with the members and provision of information. It undertakes project activities in collaboration with the Executive Committee and co-ordinates them when required.


Activities performed by the SGroup Secretariat (ilustrating the scope of the job but not intended to be an exhaustive list)

  • General administrative support to the President, the Executive Committee, the Operations Manager  and the SGroup’s activities including financial administration and monitoring as well as liaison with the relevant Spanish and Portuguese authorities;
  • Communication, internal and external, including website maintenance and updating and communication platforms such as Slack, Facebook, LinkedIN
  • Practical organisation and follow up of SGroup’s events and activities;
  • Representation of the SGroup at conferences, seminars, information sessions etc. organised by the European Commission and international organisations of higher education in as far as this is not done by members of the Executive Committee or the Project Manager;
  • Research and scanning of funding opportunities and supporting the setting up of project partnerships (in collaboration with the Projects Manager);
  • Promoting co-operation with other organisations and networks in Europe and beyond.


Personal characteristics

  • Your command of English and preferably another major European language is excellent, both written and spoken. The working language of SGroup is English.
  • You are able to demonstrate understanding of the dynamics of a membership- based organization which exists to serve the collective interests of all of its members.
  • You have a good knowledge of the European Higher Education Area and the European funding initiatives in this respect.
  • You have practical experience of working in an international context.
  • You are very fluent in computer skills and the internet, and have a keen eye for organizing on-line communication and website content.
  • You have strong communication and relationship building skills and can work in an autonomous way.
  • You can deliver high-quality results under pressure and are comfortable working on your own without being in continuous personal contact with those who set your tasks.
  • You have excellent writing skills and are comfortable writing policy papers, reports, minutes, press-releases
  • You are willing to travel within Europe if required
  • You like to work with finances and budget preparation and how to organize them and you are good at classifying and organizing files in online depositories (e.g. Dropbox)
